Immigrationmedical.com (“we,” “us,” or “the network”) operates a matching service connecting immigration applicants with vetted USCIS Civil Surgeons and immigration attorneys. We take your privacy seriously, particularly because the data we handle often relates to your health, your legal status, and your family. This policy explains what we collect, how we use it, who we share it with, and the rights you have over your information.

1. Information we collect

We collect only what we need to match you with a provider:

  • Identity and contact: Your name, email address, phone number, and the city or ZIP code where you need service.
  • Case type: A brief description of your immigration situation (e.g. “AOS spouse,” “EB-2 with H-1B,” “Canadian medical for IRCC”). This helps us match you with a provider who handles your case type.
  • Preferences: Language preference, accessibility needs, scheduling constraints, and any notes you choose to share.
  • Technical data: IP address, browser type, device type, referring URL, and pages viewed on our site. We collect this automatically through standard server logs and analytics.
  • Communications: Records of phone calls, emails, and chat messages you exchange with our team, retained for quality and training purposes.

We do not collect or store medical records, Social Security numbers, payment information, or immigration case file numbers through our site. Those flow directly between you and your matched provider.

2. How we use your information

  • Provider matching: We share the minimum necessary information (typically name, contact, city, case type) with the provider you choose so they can reach out to schedule.
  • Communications with you: We use your contact details to call or email you about your match, follow up after appointments, and answer questions you ask.
  • Service improvement: We analyze aggregated, de-identified data to understand demand patterns, provider performance, and gaps in our network.
  • Legal compliance: We may use your information to comply with applicable laws, respond to lawful requests from authorities, and enforce our terms of service.

3. Information sharing

We share your information only in the following ways:

  • With matched providers, only after your consent. We do not share your information with any Civil Surgeon or attorney until you tell us which provider you want introduced. We never broadcast leads to multiple providers without your knowledge.
  • With service providers we use to operate the site. This includes hosting (Cloudflare, AWS), analytics, email delivery, and customer-relationship-management tools. These vendors are contractually limited to processing your data on our behalf.
  • When legally required. If we receive a valid subpoena, court order, or other lawful request, we may disclose information as required.

We do NOT sell your personal information to anyone, ever. We do not share data with third-party marketers, advertising networks, or data brokers. Our revenue comes from per-match referral fees paid by providers, which does not require resale of your data.

4. Data retention

Matched leads are retained for three years after the last contact, then automatically deleted. Unmatched form submissions (e.g. tire-kickers who never chose a provider) are retained for 90 days then deleted. Aggregated, de-identified analytics data may be retained indefinitely. You may request earlier deletion at any time — see Section 6.

5. Your rights

Depending on where you live, you may have any of the following rights. We honor all of them for any user, regardless of jurisdiction:

  • Right to access. Request a copy of the personal information we hold about you.
  • Right to deletion. Request that we permanently delete your information from our systems.
  • Right to correction. Request that we correct any inaccurate information.
  • Right to portability. Request your information in a machine-readable format.
  • Right to opt-out. Request that we stop using your information for any purpose other than completing your active match. (California Consumer Privacy Act, “Do Not Sell or Share My Personal Information.”)
  • Right to non-discrimination. We will not deny service, charge a different price, or provide a different level of service because you exercised any of these rights.

To exercise any of these rights, email [email protected]. We respond within 30 days for most requests and 45 days for complex requests, in line with GDPR and CCPA timelines.

6. Cookies and tracking

We use first-party cookies to remember your preferences (e.g. language selection) and session state. We use one analytics provider (currently Plausible Analytics, a privacy-friendly alternative to Google Analytics that does not use cookies or fingerprinting). We do not run third-party advertising trackers. You can block cookies through your browser settings without losing core site functionality.

7. Children’s privacy

Our service is intended for adults handling their own or their family’s immigration matter. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected information from a child under 13, contact [email protected] and we will delete it.

8. Security measures

We protect your data with industry-standard safeguards: TLS encryption in transit, AES-256 encryption at rest, restricted access controls (least-privilege), audit logging of all access to personally identifiable information, and routine security review of our infrastructure. No system is perfectly secure, but we treat any incident affecting your data as a top priority and will notify you promptly if we ever experience a breach affecting your information.

9. HIPAA note

We are not a covered entity or business associate under HIPAA — we do not transmit, store, or process Protected Health Information (PHI). Your medical exam results flow directly between you and your Civil Surgeon, who is a HIPAA-covered entity. Their handling of your PHI is governed by their own notice of privacy practices, which they will provide at your first visit. Questions related to PHI in your matched clinic should go to that clinic directly; questions about how we handle your contact information are covered by this policy.

10. Updates to this policy

We may update this policy from time to time. When we do, we update the “Last updated” date at the top and, for material changes, post a notice on the homepage for 30 days. We encourage you to review this policy periodically.
